How to Prepare for Attending Travel Industry Events
When you’re attending an event, there’s a lot at stake if you’re a sponsor or have invested a lot to attend. Well before the conference, think about your strategy and goals. Get your tools ready and attire in check. Here are my top recommendations for killing it at a travel event:
Before you’re leaving, check your business card count or if you need to re-order in time for the event; For digital cards, make sure your landing page is up to date with the things you want to highlight. Bring both kinds of cards since paper cards are easy to pass out quickly.
Pack an extra tote for any goodies, business cards, swag and documents.
Pack an easy portable charger because you will run out of juice!
Check the pre and post party plans so you’re not missing any of the opportunities to network.
If you aren’t a sponsor or have a table to post up, find a place that makes it easy to find someone in a packed event.
Outfits with pockets or the right handbag to quickly grab cards or save another’s business card. Start a system of keeping those cards organized as you move through the event (make notes on business cards or keyword reminders).
EventAttire: If you’re unsure of what to pack, check past year’s social media and posts to see what the people are typically wearing.
Wear a conversation starter! Look sharp and on point for the event. First impressions are everything. Ladies, look into services like Nuuly or Rent The Runway to always keep fresh looks without breaking the bank.
Also make sure the outfits are comfortable enough to wear all day and potentially into the night if there’s no break before the evening functions.
Hydrate and make sure you know where the closest coffee station will be or coffee shop. Bring protein bars and easy snacks to tuck in your bag.
If you’re a first timer to an event, find a veteran to tag along or team up to work a room. For those introverts, it’s hard to break in, so find another that’s standing on the outskirts and find a companion just as shy to team up.
Now, for the actual event, you need to look at the appointments and meetings you have arranged. Look at their background and find any info to show you’ve done your home work.
Ask people questions and listen - always have a notebook and pen handy to jot things down.
Events are long and exhausting, but push yourself to be the last one standing or work the room to the very last. It’s where the real relationships are made and people talk about for years to come. I’m a stayer, and that’s where I do my best work.
Next step, map out your calendar and select the events that best suit your business goals to attend for 2025.
